• In-person conversations once an arrangement is underway, notes relevant to the service may be kept with your knowledge.

Legal basis for processing (PDPA 2010, Malaysia): We process personal data on the basis of consent (given when you submit an enquiry or agree to an arrangement), legitimate interest (for service delivery and communication), and where required, contractual necessity. We process data in accordance with Malaysia's Personal Data Protection Act 2010.

We use the information collected for the following purposes:

• To respond to your enquiry and provide the information you requested.
• To discuss, set up, and manage your home support arrangement.
• To send you updates directly related to an active arrangement (visit schedules, notes, check-in summaries).
• To improve our website and understand how visitors navigate it, using aggregated, non-personal analytics data.
• To comply with legal and regulatory requirements applicable in Malaysia.

We do not send marketing emails or promotional messages without your explicit agreement. If you have agreed to receive updates from us and wish to stop, you can do so at any time by writing to [email protected].

Data retention: Enquiry records are kept for up to 12 months. Records relating to active arrangements are kept for 3 years following the end of the arrangement, after which they are securely deleted.

We do not sell, rent, or trade personal information. We may share data in the following limited circumstances:

• Service delivery: Where a companion or coordinator is involved in your arrangement, they will have access to relevant details needed to carry out their role. They are bound by confidentiality.
• Analytics providers: We use third-party analytics tools (such as Google Analytics) that collect anonymised website usage data. These tools operate under their own privacy policies and do not receive personally identifying information from us.
• Legal requirements: We may disclose information if required by law or in response to a lawful request from a regulatory body or court in Malaysia.

We do not transfer personal data outside Malaysia without your knowledge and agreement, except where required by the platforms we use (such as cloud-based email services), which operate under appropriate data protection standards.

We take reasonable steps to keep personal information secure:

• Our website uses HTTPS encryption for all data transmitted between your browser and our server.
• Access to enquiry records and arrangement notes is limited to the Sahabat team members who need them.
• Physical records, where kept, are stored securely and disposed of properly when no longer needed.
• In the event of a data breach that affects your personal information, we will notify you as promptly as practically possible and take steps to limit any impact.

No system is entirely without risk. If you have concerns about the security of information you have shared with us, please contact us directly.
